How Tynous AI Office handles information when you visit our website or use AI Office.
Who we are
Tynous Technology Inc. operates Tynous AI Office and the tynous.com website. In this policy, “Tynous,” “we,” and “us” refer to Tynous Technology Inc.
Information we process
We process information you provide, including account and Workspace details, company information, customer and contact records, inquiries, business documents, uploaded content, product or service information, website content, instructions, feedback, and support messages. We also process service-use and technical records needed for authentication, security, reliability, and troubleshooting.
Connected business email
If a Workspace owner or administrator connects Google Gmail or Microsoft Outlook, Tynous receives authorization to access that mailbox using OAuth. Depending on the provider, we may read synchronized messages, message bodies, headers, participants, timestamps, thread or conversation identifiers, and related mailbox metadata. We use this information to identify and understand business inquiries, associate conversations with Workspace records, suppress duplicate processing, preserve reply context, prepare suggested replies, and record delivery after an authorized send.
Tynous requests Gmail read-only access and permission to send mail, or the corresponding Microsoft delegated mail permissions. OAuth access and refresh tokens are encrypted and stored server-side. We do not ask for or store your Google or Microsoft password. AI Office prepares external communications for review; sending through a connected mailbox requires Human Approval in the product.
AI processing and business memory
AI Office may use account, Workspace, business, website, customer, inquiry, communication, and approved business information to provide grounded answers, organize Business Evidence and Business Memory, identify items needing attention, and prepare recommendations or drafts. AI output can be incomplete or incorrect and must be reviewed. Connected Google Workspace data is used only to provide or improve user-facing features for the authorizing Workspace; it is not used to train generalized AI or advertising models.
How we use information
We use information to operate, secure, maintain, and improve the reliability of AI Office; authenticate users; maintain tenant-isolated Workspace state; provide requested features; synchronize authorized integrations; prepare work for review; execute actions that a user approves; respond to support and website inquiries; detect abuse; and comply with applicable legal obligations.
Service providers and disclosures
We use service providers where necessary to operate the service, including Google Cloud for application infrastructure and data storage, OpenAI for configured AI processing, Google and Microsoft for connected email, Cloudflare for the public website, and an email delivery provider for Tynous account and service messages. A provider processes information under its own terms and our configuration of its service. We may also disclose information when required by law, to protect users or the service, or as part of a business transaction subject to appropriate safeguards. We do not sell personal information.
Retention and deletion
We retain information while an account or Workspace is active and as reasonably needed to provide the service, maintain security and audit history, resolve disputes, and meet legal obligations. Different records may be retained for different periods; Tynous does not currently publish fixed category-by-category retention periods. Disconnecting a mailbox removes its stored OAuth credentials and stops future access, but does not automatically delete historical business records already created in the Workspace. Self-service account deletion is not currently available. To request account or data deletion, email info@tynous.com from an address associated with the account. We will verify the request and explain records that must be retained or cannot be deleted.
Your choices and rights
You may choose what business information to provide and whether to connect a mailbox. Workspace owners or administrators can disconnect a connected mailbox in AI Office. You can also revoke Tynous access in your Google Account or Microsoft account settings. Depending on your location, you may have rights to access, correct, delete, or obtain a copy of personal information, or to object to or restrict certain processing. Send requests to info@tynous.com; we may need to verify your identity and authority over the Workspace.
Security, international processing, and children
We use technical and organizational safeguards designed to protect information, including tenant-scoped access controls and encrypted storage of connected-mailbox credentials. No security measure is absolute. Tynous and its providers may process information in countries other than where you live. AI Office is a business service and is not directed to children.
Changes and contact
We may update this policy as AI Office changes. We will update the effective date on this page when we make material revisions. Privacy, authorization, and deletion questions may be sent to info@tynous.com.
